Reminders on best-practice meeting habits

  • Review previous meeting notes especially when absent!

  • “NEXT STEPS” should be clear and actionable for assignee (who should double-check this for themselves)

  • Use chat in etherpad (and add your name)

Discussion mechanisms

  • open discussion

  • call for a round (“pass the mic” style, facilitator makes sure no one is skipped)

  • hand symbols

    • “o/” or “/” means that you have something to say and want to be put in the queue

    • “c/” or “?” means that you have a clarifying question and want to jump to the top of the queue

    • “d” means thumbs up, encouragement, agreement, etc.

    • “>” as an indicator of understanding someone and the point can be concluded, please move on

Facilitation by topic

  • There is a leader for each topic (generally the person who raised the topic), and the facilitator will assist the topic leader in the discussion via the etherpad chat

Notetaking

  • “???” in notes means something missed, please help capturing what was said

  • aim for shorthand / summary / key points (not transcript)

  • https://builders.mozilla.community/ came across my screen recently, are we interested, do we have a way to capture these?

  • This summer, the Mozilla Builders Incubator offers 3 programs.

  • The Startup Studio - $75,000 investment in early stage startups. SAFE ($2m cap).

  • The MVP Lab $16,000 funding to pre-startup teams. For-profit, non-profit or open source. (<- relevant to us) - due June 5th

  • smichel: wasnt sure how many of these were actual grants vs investment

  • smichel: Agree the mvp lab is what we’d apply for; it looks like it’s targeted at earlier-stage projects than us.

  • wolftune: this page might not stay here but will be linked to: Things in current phase (‘quarters’) are main priorities (bylaws by board, code cleanup by smichel & loveliesbleeding, moving main site to OSU). Goal to be successful in these tasks rather than be overly ambitious. This for us and the public so our status /progress is clear.

  • salt: structure of this doesnt seem to fit (civi specifically)

  • wolftune: were not going to flush out all the details of every bullet point, we are pulling out the chunks that are aims in each quarter. For civi : is ther a specific goal you think can get done (for civi) in this quarter. Civi is basically penciled in.

  • NEXT STEP (wolftune): add intro to planning page that explains how to use it

  • NEXT STEP (salt): decide civicrm goals in current phase

  • salt: heading are relevant and should be consistent (so what isn’t being worked on in a quarter can be seen)

  • wolftune: are we missing any headings? Please post if any are thought of: core of this is to be the general (future) scope

Development roadblock update (smichel)

  • smichel: understanding and prompted by concerns of not making more progress on the site. I think we’ve been missing a role that focuses on the haskell front end (for a long time)

Mumble config update (smichel)

  • smichel: I made some subrooms:

    • “Subgroup 1” and “Subgroup 2” can hear and speak to “root”, but cannot hear each other

    • “Meeting Room” cannot hear any of the others

Board meeting tomorrow 11:00 AM Pacific time (alignwaivers)

  • (alignwaivers) just want to announce to make sure people are aware if they want to show up

  • smichel: we will be focusing on the bylaws tomorrow (also it’s on the shared calendar)

  • adroit: good meeting, good to be ending early, glad to see roadmap be clarified

  • msiep: good discussion, good to see progress on roadmap

  • smichel: thought the topic discussions expanded to fill the time a bit which was unnecessary. Feeling tension on next step for roadmap development

  • lisha: really appreciated being able to be here and listen

  • wolftune: felt like when I facilitating, not the same as being in person and getting feedback more directly: Should err on the side of getting more feedback

  • loveliesbleeding: like lisha, glad to listen in. new to snowdrift but nice to be here

  • salt: feeling a little tension with the topics facilitated by the lead on each (not everyone is experienced or comfortable facilitating)
