Reminders on best-practice meeting habits

Use chat in etherpad (and add your name)

Conversation queuing

  • “o/” or “/” means that you have something to say and want to be put in the queue
  • “c/” or “?” means that you have a clarifying question and want to jump to the top of the queue
  • “d” means thumbs up, encouragement, agreement, etc.
  • “>” as an indicator of understanding someone and the point can be concluded, please move on
  • three discussion mechanisms: hand symbols (above), call for a round (and vary the order), open discussion

Notetaking

  • “???” on the etherpad means the notetaker missed something and needs assistance capturing what was said
  • aim for shorthand / summary / key points (not transcript)

Review previous meeting feedback

  • salt: applaud everyone, covered a lot, glad to be less strict about rules in a beneficial way
  • smichel: also happy getting through it in amount of time, good topics that needed be discussed in sync
  • wolftune: didn’t hear even engagement with everyone, still not the same as being in the same room
  • alignwaivers: I appreciate the posts on the side sometimes, but longer thoughts could be directly added to the meeting notes in the main pad
  • mray: thanks to all, esp. salt as facilitator
  • mray: one thing thats important to me is to try to have good audio quality. If software can’t do much, but if hardware maybe we could afford decent headphones
  • msiep: glad to meet, but progress on front-end will help motivation

CiviCRM (Salt)

  • deployed! getting configured, hopefully going to be schema matched so previous work transfers appropriately, going to find some time to work on it (by libreplanet)
  • NEXT STEP (salt w/ mray and iko): get volunteer form working and looking good
  • 403 and 404 pages needed, may be specific to drupal
  • email headers setup etc
  • make sure civicrm@ is available for email etc
  • NEXT STEP (salt) : put above items into gitlab
  • things are happening, progress being made!
  • wolftune: is it in a state (even if incomplete) that other people could help with
  • salt: close to being delegated, one more push when it will

SeaGL (Salt)

  • (salt) kickoff meeting, and dates set for november 13th/14th (year #8)
  • want to float an idea: what do people think about seagl as a focus project. SD been focusing on software projects, but general consensus we want to move beyond software
  • ROUND:
  • wolftune: we have a clear definition of what public goods are in an economic sense - any time we have a strong connection to something (not software), would like to support
  • don’t want to get pigeonholed
  • but conferences are a little less clear, not necessarily the best starting point outside of software (non-rivalrous but not accessible to everyone, though content is being made available online)
  • smichel: agreed that we want to not be software exclusive, but think it’s a bit premature to have the conversation now. I’d rather wait until we have one project launched. I wouldn’t turn down a connection that popped up, though.
  • salt: like the idea of launching a few [non-software] things. Like to think about it as spatial like a piece of art. We are focusing on sustainable funding, so there’s a temporal aspect which made me think a [recurring] conference might fit
  • msiep: agree, that a conference is not a prototypical example as something that is created, replicated and spread around on the internet. But other than that a good direction that could make sense
  • mray: agree with what others have said, and also think it’s a little premature. What I would like to see thriving first and foremost, is snowdrift itself, and think a big software project is the ideal direction.
  • align: Like the idea of conferences, but not sure it’s an ideal initial project, to move outside of software.
  • wolftune: anything thats clear from the beginning - “can reach the whole world would be fine”. A prerequisite for deciding on other types of projects would be to have a functioning co-op that could decide democratically
  • smichel: If we did end up “pidgeonholed into software”, we could make “Snowdrift.coop expands into music!” a big announcement, so I don’t think it’s the worst thing in the world.
  • salt: would like to see a user story about this. There’s a few people (devs) funded by patreon - patrons who think “i like what you’re doing, want to support” - this a model could be adapted to SD.
  • salt: conferences bring people together in ways that software doesn’t, but agree maybe it should be post- functioning coop
  • NEXT STEP (alignwaivers): Make sure this is on the snowdrift calendar
  • NEXT STEP (salt): write a user story

OSU Priorities (Salt)

  • salt: related to civi - have been pushing as a priority to OSUOSL. Trello board
  • wolftune: the main site seems like a big deal because then we can drop one of the AWS servers
  • salt: nextcloud would also big significant
  • smichel: I have a nextcloud instance we can use for now…
  • NEXT STEP (wolftune): ping them about main site as next priority
  • NEXT STEP (smichel17): make sure nextcloud instance is up to date & non-expired ssl cert xD

LibrePlanet blog post (wolftune)

  • wolftune: somebody who’s going should post about the ‘event’ we are having at libreplanet
  • smichel17: Not sure what goes in it but if there’s a previous post to model after, I can do that. No guarantees it gets done before the weekend, though.

OSI incubation situation and elections (wolftune)

  • wolftune: another meeting on friday, wanting the board to understand big picture / relevance - what would it look like for Snowdrift to graduate from OSI incubator (aka first project gets funding)
  • wolftune: also an election that we need to use our affiliate vote for

  • wolftune: different slate of voting for affiliate members - there’s people who are pushing for “ethical source” licensing, contention around that, but that’s mainly in the individual-members

archive pre-structured social media posts/blog (alignwaivers)

  • wolftune: people should read our blog - early optimization would be a good goal for now, and repeating patterns can be made into template
  • smichel: I don’t think we need this yet. For now, “I need to write a blog post, let me look at previous blog posts” is okay.
  • alignwaivers: quick voting method? thumbs up or down instead of taking time for round
  • wolftune: a good path forward is to take care of unblocked tasks (coworking helpful for)
  • mray: for recruiting - we should ask ourselves what we are actually asking for - perhaps ask interested folks if they see an issue / have insight to our needs
  • wolftune: having concrete paths is really helpful for people, have a long backlog of interested folks (that haven’t been followed up with) - part of civicrm
  • salt: talk to lots of devs, but don’t have a good way of tracking at the moment
  • wolftune: happened a lot that people are interested, and need to be pinged some time/s which can make the difference. Thinking of it in terms of GTD, don’t have a pattern / system for followup

  • wolftune: feels like the meeting is good for resolving tensions, could be done more explicitly, asking everyone to notice tensions and help each other understand them and turn them into concrete drivers
  • salt: pretty good, still finding the balance of structure and lack thereof
